The procedures every resident should know — for new owners, renters, and anyone dealing with assessment or service questions.

New Resident Procedure

Welcome — here's how to get fully integrated into the neighborhood after your closing date.

  1. Register as a current resident on the member portal to receive your login credentials.
  2. Submit a Resident Info Form on the forms page with your vehicle information and authorized-visitor list.
  3. Send a copy of your signed deed or closing statement to J&L Property Management so you're officially on the rolls.
  4. Pick up your vehicle entry stickers at the gatehouse — bring valid ID for each driver in the household.
  5. Introduce yourself at the next monthly board meeting — schedule is posted in the member portal.
First 30 days

If you plan any exterior changes — paint, landscaping, fence, roof, driveway, anything visible from the street — submit an Architectural Modification Request before work begins. Approval typically takes 7–14 days.

Delinquent HOA Dues Policy

HOA dues are assessed quarterly and are due on the first day of January, April, July, and October. The Association's policy on delinquent assessments is summarized below; the full enforcement procedure lives in the recorded Bylaws and Florida Statute 720.

  • Day 1–15 — friendly reminder via email from J&L Property Management
  • Day 16–45 — late fee of $25 added; second written notice mailed to property address
  • Day 46–90 — account turned over to Association's attorney; collection costs assessed to the owner
  • Day 90+ — claim of lien may be recorded; gatehouse privileges may be suspended (see below)

Owners experiencing hardship can request a written payment plan from the board; plans of up to 12 months are routinely approved for owners in good standing.

Suspension of Gatehouse Services

Access privileges, including authorized-visitor list maintenance and package handling, may be suspended for any account more than 90 days delinquent, or for any owner who has been formally fined under the Rules Enforcement procedure and not cured within the noticed period.

  • Suspended residents retain personal access to their property — there is no removal of their right to enter their own home.
  • Suspended residents may not authorize new visitors via the gatehouse phone list until the underlying violation is cured.
  • Reinstatement is automatic upon payment of all owed amounts and a $50 administrative fee.

Neighborhood Rental Policy

Maplewood Isle is a community of owner-occupied homes. Rentals are permitted under the following conditions, drawn from the 2017 Bylaws Amendment:

  • Minimum lease term: 12 months. Short-term rentals (under 12 months, including Airbnb / VRBO) are prohibited.
  • Tenant registration: all tenants must register with J&L Property Management before move-in. Background check required.
  • Owner liability: the property owner remains responsible for HOA dues, rule compliance, and any fines incurred by the tenant.
  • Tenant access: tenants receive gatehouse access for their lease term; the owner must update the authorized list at lease renewal.
  • Maximum rentals: the Association reserves the right to cap the percentage of rentals in the community at 10% to preserve community character.
